- Provide administrative and project management support to the workforce team and workforce project teams.
- Manage the diary of the Head of Workforce Transformation and other senior workforce colleagues.
- Help arrange and facilitate Workforce meetings, arranging venues and managing attendance, producing agendas, collate and circulate papers and taking and transcribing minutes and compiling action and decision logs. Follow up on actions, decisions and log of progress.
- Organisation and management of information and file repository for the People Directorate.
- Facilitate communication between the different work streams associated with workforce transformation.
- To support workforce teams with the submission of mandatory data and any ad hoc requests from the Midlands region of NHS England.
- Document and pursue action responses to assist compliance with deadlines
- Utilise a range of work procedures and practices, using knowledge of full range of administrative systems, software programmes, specialised functional terms.
- Manage own workload and work independently, prioritising tasks within service need.
- Be able to work flexibly, to support all actions
- Participate in relevant internal and external project groups and provide information and support in relation to status of key projects. This will include RAG status reporting and ensuring issues are escalated to project leads in a timely manner.
- Provide support to the project leads in following up on agenda item actions and project plan actions.
- Communicates with a range of clinical and non-clinical staff concerning progress in action plans.
- Prepare and support project leads with the development of reports and presentations required for internal and external committees.
- Receive and take relevant action on all communication from the Head of Workforce Transformation and other senior workforce leads and project leads.
- Collate relevant information to specific projects and analyse, where appropriate
- NVQ4 in Administration or equivalent experience
- Key Skills Level 2 in Literacy and Numeracy
- Advanced Microsoft Office training
- RSA/OCR III or equivalent
- Evidence of planning organising and support meetings and events both face to face and on line
- Evidence of using documentation in support of projects - agenda packs, action logs, notes and minutes
- Diary management experience
- Working knowledge of Microsoft Office packages Outlook, Excel, Word, Powerpoint
- Awareness of current NHS issues
- Evidence of ability to prioritise workload

Workforce Transformation Project Support Officer NHS AfC: Band 4 Job overview
Coventry & Warwickshire Integrated Care Board are seeking to appoint a Workforce Transformation Project Support Officer to support the Workforce transformation team led by the Chief People Officer and Senior Responsible Officers (SRO) who direct, guide and lead system priority workstreams to ensure the delivery of our Integrated Care System (ICS) People Plan. The People plan has ambitious targets to innovate through: Attracting, Recruiting & Retaining our workforce; Developing people through career pathways; Enhancing our system culture & organisation development through leadership culture, equality, diversity, inclusion and belonging and wellbeing; Innovating people services through effective planning & use of digital technology. To achieve this objective, a range of interrelated projects are in place to support the implementation of a programme of change.
Please note that interviews will take place on 11th June after 12:30pm. There will be a short exercise to complete on the day.
Main duties of the job
The Workforce Transformation Project Support Officer will provide administrative support across the Workforce transformation team, the People Board and its project teams, with a particular focus on project support. This includes being a point of contact for the team, booking meetings, taking minutes and/or notes for meetings, and supporting local, regional and national events. It will also include the management of action and decision logs, following up in a timely way and support for presentations and reports. It will include participation in regular meetings and provision of support in implementing effective systems to manage stakeholder communications. In particular the post holder will: Provide high quality project, service, initiative and administrative support including information and analysis; Undertake some reporting and analysis of information to support delivery of a range of programmes of work.
The post holder is a key member of the team whose overarching goal is to enable, promote and support the effective use of data, information, knowledge and technology to improve, inform and support a portfolio of projects, services, and initiatives.
