An exciting opportunity has arisen for a Ward Administratorto join a brand new ward at the Alexandra Hospital.
Your role as a Ward Administrator is to provide a high-qualityadministrative service to meet the requirements of the ward. We are looking fora highly motivated individual, with excellent organisational and IT skills,accuracy and attention to detail. You will be expected to work as part of ateam, whilst also being proactive in managing your own workload.
Your responsibilities will include; efficient and accuraterecording of data including staff files and sensitive information,administrating new starters and leavers, processing changes to staffinformation, assisting in recruitment processes, absence and sicknessmonitoring and reporting. You will also be responsible for the monitoring ofmandatory training compliance for the ward staff as well as assisting withcourse bookings. You will be expected to arrange, take part in and report onstaff meetings as well HR meetings with individuals. Additional administrativeduties may also be required.
This is a varied and rewarding role, and although notpatient facing, you will be based on the Ward under supervision of the WardManager.
Main duties of the job
Providededicated administrative support to the Inpatient Manager, Matron and widerward team.
Administer all office systems to a highstandard, both electronic and hard copy, across the service, ensuring they runsmoothly through having well planned and organised administrative systems andprocesses in place.
Assist withplanning and arranging meetings, ensuring all necessary arrangements are made,such as room bookings, refreshments, etc.
Attenddesignated meetings where the information may be complex and sensitive, takingand transcribing minutes. Distribute information prior to and after meetings ina timely way.
Typeconfidential correspondence, reports and other documentation to a high standardwithin agreed timescales.
Record,prepare and process records for archiving in a timely manner.
Operateoffice equipment, including printers, faxes, PCs, scanners and telephones.
Assist inthe preparation, collection, photocopying, printing and processing of materialsfor management and service information meetings.
Manage thedistribution of service user and staff communications and wider informationacross the service as required.
Assist in the production andmaintenance of clinical rotas via the E Rostering system, including the bookingof bank and agency staff.
Co-ordinateannual leave and training requirements and ensure records are maintained onESR.
