    Job Summary

    The Senior Sourcing Manager is the main point of client and supplier contact from Meeting Request through proposal to contracting and payment.

    They are also the facilitator between team members and the team leader.

    Key areas of role include venue and destination knowledge, contract negotiation and budget management in addition to delegated team leader tasks and responsibilities as set out below.

    Responsibilities

    CUSTOMER DUTIES
    Review meeting request and conduct meeting qualification call with client

    Identify appropriate venues according to client/event needs

    Understand and utilize preferred suppliers program

    Advise and guide the client about suitable options

    Inform about rejected venues (quality, availability...)

    Maintain contact with suppliers and manage option dates

    Reminders to client on deadlines

    Budget management of project

    Secure meeting owner approval on budget and terms & conditions of suppliers

    Negotiate supplier rates and conditions

    Ensure per project profitability through commission and fees

    Coordinate Inspection trip if needed and assistance if required

    Secure required data according to customer policies (POs...)

    Confirm/Cancel venues to suppliers

    Update Meetings & Events Finance and Project Management systems with all project information

    Provide feedback to suppliers on cancelled venues

    Secure accurate contracts from suppliers to be signed either by GBT or by client directly

    Renegotiate rates and conditions

    Issue deposit invoices to customer

    Make required payments to suppliers

    Raise commission invoices as required

    Attend supplier educational programmes to ensure venue and destination knowledge is current

    SENIOR DUTIES
    Includes all attributes of meeting planner to a high level

    Leads high level, high value bookings

    Takes on project work

    Troubleshoot/proofs team members work

    Manage inboxes and delegating enquiries

    Rotas (if applicable)

    Deal with arising issues / complaints

    Training new starters & junior team members

    Support team leader / manager with tasks including:
    Weekly and monthly internal reporting

    Monthly external reporting

    Monitoring quality control reports

    Acts as manager when line manager is out of office

    Managing aged projects / debt
    Qualifications, Skills & Knowledge
    Minimum 3 years of industry experience

    Experience in hotel buying preferred

    Proven negotiation skills

    Knowledge of UK and global destinations required

    Domestic and international venue/hotel knowledge is a benefit

    Online sourcing tool experience ie Cvent, Lanyon

    Operations experience in hospitality industry or equivalent is a benefit

    Prior successful experience in developing and maintaining key client and supplier relationships

    Prior experience in effectively handle multiple projects/demands

    Strong knowledge of program/event management and budget maintenance

    Proven aptitude for technology and/or software solutions and analytical skills required.

    Ability to travel by airplane, boat, rail and/or car.
