    The project:

    The legal team will be taking on a project which will be auditing information currently held with our archiving provider. An additional resource is needed for a period of 6 months to assist the Document Controller in reviewing this data and providing feedback to the new archiving provider. As well as the above project, the existing Document Controller is now taking on additional tasks within the team which carry a higher priority and will need assistance with logging documents. This additional resource will assist with logging of electronic and hard copy documents received by the team. It is anticipated this number will increase due to increased awareness being raised of the importance of sending all executed documents to the Legal team for logging. The person hired will require strong attention to detail and ability to query anomalies and understand the importance of process and consistency as well as the importance of legal documents.

  • Provides document management and general administration support to the project team. Typically involves smaller projects where time is shared between the two disciplines.

    You'll be responsible for:

  • Organises internal and external meetings and presentation, documents,
  • Reviewing data for audit and reporting on anomalies.
  • Maintains the electronic file sharing systems such as SharePoint and Aconex.
  • Ensures all new documents arriving on the system are quality checked as per standard procedures.
  • Logging electronic and hard copy documents.
  • Creates, manages and updates distribution groups to ensure information flows to the correct organisations.
  • Maintains the project work package matrix and assign documents accordingly.
  • Runs in app reports as required by the project team.
  • Works collaboratively towards the common goal of net zero carbon transition and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work.
  • You'll need to have:

  • Understanding of core construction processes and information flows.
  • Experience in managing documents ideally within a legal background.
  • A proactive nature where potential issues are addressed before they occur.
  • Attention to detail for document control.
