    What we are looking for

    An experienced and highly organised Freelance Production and Site Manager to join our team for the upcoming Wavelength Spring Classic Festival.

    The Wavelength Spring Classic Is A Celebration Of The Great Outdoors, an annual surf and music festival held in North Devon, UK, run from a unique clifftop location. Preparing for its third season the event is known for its vibrant atmosphere and diverse program. With over 5,000 attendees expected, the Wavelength Spring Classic is a key event in the local calendar, offering a unique experience to attendees.

    Job Overview

    In this role, you will play a crucial role in ensuring the festival runs smoothly, efficiently, and safely. This is a temporary freelance position responsible for overseeing all aspects of site management, stage production, event safety, event operations, and the coordination of the Build and Break Schedule, with long term opportunities.

    Key Responsibilities: Site Management

    – Ownership of the site plan document, including the production of scaled CAD drawings

    – Oversee the setup and layout of festival grounds, including stages, stalls, and amenities.

    – Coordinate with vendors and contractors for site preparations.

    – Ensure all site facilities meet safety and regulatory standards.

    – Manage onsite logistics, including signage, waste disposal, and utilities.

    – Book freelance site crew.

    Stage Production Management

    – Collaborate with stage managers, technical teams, and artists to ensure smooth stage operations.

    – Oversee load-in, sound checks, and load-out procedures.

    – Resolve any technical or production issues that may arise during performances.

    – Ensure stage schedules are adhered to.

    Event Safety Management

    – Update and implement a comprehensive Event Safety Management Plan (ESMP_ in accordance with local and national regulations and guidance.

    – Conduct safety inspections and risk assessments.

    – Manage procurement of Event Safety Advisor (contractor)

    – Respond to emergencies and incidents as needed.

    Event Operations

    – Specify and coordinate security, medical, and traffic management services.

    – Liaise with local authorities and emergency services, including coordination of the Safety Advisory Group process with North Devon District Council

    – In conjunction with the Designated Premises Supervisor, ensure compliance with all legal and licensing requirements.

    – Manage vendor and contractor relations related to event operations.

    Procure and Deliver Build and Break Schedule

    – Collaborate with event organizers and contractors to create a detailed Build and Break Schedule.

    – Manage the procurement process of services and hired infrastructure

    – Ensure timely delivery of materials and equipment for setup and teardown.

    – Supervise the build and break process, optimizing efficiency.

    Stakeholder Management

    – Oversee communication and updates with key stakeholders, including Parish Council and local residents/businesses

    – Specify and coordinate a Noise Management Plan, including the use of specialist contractors where appropriate

    Timeline

    A summary overview of the expected timeline

    Pre-Event Planning (October 2023 – April 2024)

    October – December : Onboarding and contract negotiation

    November to February : Infrastructure and Services Procurement and initial site design

    January – March : Collaborate to finalise site plans, stage requirements, and safety documentation. Conduct Safety Advisory Group and Stakeholder Management processes.

    March – April: Arrange purchasing of owned infrastructure such as signage, branding, and consumables. Begin drafting the Build and Break Schedule. Continue to update the event Site Plan. Finalise service specifications with contractors (power, water, WiFi, toilets).

    April – May 2024

    Early April to Late May: Finalise the Build and Break Schedule in coordination with contractors and vendors.

    Late April – Early May: Coordinate with stage managers and technical contractor to meet Artist Technical Rider requirements

    – Mid-May: Finalise event safety documentation and risk assessments. Produce training information for event staff in respect of incident response and customer services.

    Site Build – Late May

    – Deliver Build Schedule

    – Finalize event operations, including security, medical, and traffic plans.

    • Act as Event Manager in respect of:
      • Security, medical, and traffic management
      • Incident Management
    • Act as Site/Production Manager in respect of:
      • Site Services and Infrastructure maintenance
      • Stage Production

    June 3rd: Breakdown and cleanup operations.

    June 4th – 5th: Finalize the breakdown of festival infrastructure and facilities.

    June 6th – 10th: Conduct post-event evaluations, gather feedback from stakeholders, and wrap up any outstanding administrative tasks. Ensure site is spotless.

    Substitution of specific role duties

    For the right candidate, certain duties can be contracted elsewhere in a manner commensurate with the skills and experience of the candidate.

    Qualifications

    – Proven experience in event or festival site management, preferably in a similar role.

    – Strong organizational and problem-solving skills.

    – Excellent communication and leadership abilities.

    – Knowledge of health and safety regulations related to large-scale events.

    – Ability to work under pressure and adapt to changing circumstances.

    – Familiarity with event production and technical requirements.

    – Flexibility to work irregular hours and weekends during the festival.

    Nice to haves

    • An understanding of the South West supply chain
    • Ability to visit Exeter Head office

    Pay

    Market rate and Negotiable depending on experience and full job scope.
