    Job summary

    Birmingham and Solihull Integrated Care Board (ICB) have an exciting opportunity for two enthusiastic individuals to come and join the ICB Contracts Team. We are seeking conscientious individuals with a can-do attitude who are committed to delivering high quality administration support. The successful applicants will have excellent communication and organisational skills and a range of administration experience, including minute taking, management of shared email, electronic filing and circulation of contractual reports/documents, diary management, meeting organisation, papers collation and distribution. You must be able to build effective working relationships and be approachable and accessible with a flexible approach to work. You must be a team player and able to work autonomously, using your own initiative.     The role is essential to supporting the Contracts Team with the administration duties required to offer high-quality assistance to our providers.

    Your duties will include:

  • Management of shared email
  • Electronic filing and circulation of contractual reports/documents
  • Diary management
  • Meeting organisation
  • Papers collation and distribution
  • Meeting minutes and notes taking
  • Liaising with provider contacts where required
  • Support contract leads and other colleagues as necessary
  • Handle financial matters via Oracle system
  • Work independently with initiative and minimal supervision
  • Prioritise tasks appropriately to meet deadlines

    Job responsibilities

    The Contracts Administrator will be responsible for providing acomprehensive administrative service for all functions delivered through the Contracts Team. The role supports the team with the management ofprojects, gathering information and undertaking enquires as and when isnecessary for the head of department and the wider team.

    The post holder will administer and attend identified meetings, includingtaking full minutes or action notes as agreed with the Chair and / or seniormanager(s) who lead the meeting. The role will also provide administrativesupport for designated projects contributing to delivery of the ICBs strategic objectives, as allocated by Senior Managers in the post holder will need to work closely with the Senior Managers tosupport them in working with Clinical Leads to deliver relevant elements ofthe ICBs annual Operational Plan.

  • Educated to at least GCSE level (5 GCSEs including Maths & English), or NVQ 3 level in a relevant subject (or equivalent level of qualification) or equivalent previous proven experience.

  • Demonstrable experience in dealing with the public and dealing with sensitive and confidential information
  • Experience working within a contracting team
  • Ability to work under pressure in a busy working environment and able to multi- task.
