    Executive Assistant – Global Automotive Business

    Location: London (hybrid)

    Role

    As a Personal Assistant, you will be responsible for providing comprehensive administrative support with the day to day activities of the C-suite executives. This role requires exceptional organizational skills, attention to detail, and the ability to handle a wide range of administrative tasks efficiently. The ideal candidate will be proficient in time management, possess strong communication skills, and be adept at handling multiple priorities in a fast-paced environment. Fluency in Cantonese or French would be advantageous.

    Key Responsibilities:

    • Manage and maintain executives' schedules, appointments and travel arrangements.
    • Handle incoming calls, emails and other communications and respond appropriately or escalate as needed.
    • Prepare and distribute correspondence and reports.
    • Organise and coordinate meetings, conferences, and events, including booking venues, arranging catering, and preparing meeting materials.
    • Arrange domestic and international travel for executives, including flight bookings, hotel accommodations, transportation and visa processing.
    • Prepare detailed itineraries and travel packs, ensuring executives are well-prepared for all trips.
    • Track and reconcile travel expenses, ensuring accuracy and adherence to company policies.
    • Assist in the preparation of presentations, reports and documents using Microsoft Office Suite (PowerPoint, Excel, Word).

    Qualifications and Skills:

    • Proven experience as a Personal Assistant or similar role, preferably supporting C-suite executives.
    • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word) and other relevant software applications.
    • Exceptional organisational and time-management skills, with the ability to prioritise tasks and meet deadlines.
    • Excellent communication skills, both written and verbal.
    • High level of discretion and confidentiality.
    • Ability to work independently with minimal supervision and as part of a team.
    • Bachelor's degree or equivalent experience preferred.
