    Job summary

    An exciting opportunity has arisen for the appointment of an enthusiastic, methodical course organiser and administrator to join our busy Simulation and Clinical Skills departments, on the University Hospitals Coventry & Warwickshire Coventry site.

    Both departments are industrious environments that continue to develop, so you will need to be flexible, with excellent organisational, time management and communication skills. IT skills and experience with Microsoft Word/Excel & PowerPoint would be an advantage, to manage the various digital systems in both areas.

    You will need to work autonomously and as part of a team, managing conflicting priorities and using your own initiative to manage own workload effectively.

    We are looking for someone who is at ease talking to a wide range of staff groups and have excellent interpersonal and customer service skills.

    NHS experience preferred but not essential, it is more important to have a 'can do' attitude.

    Main duties of the job

    Working closely with our other administrator you will divide the daily standards of work between the Simulation and Clinical Skills departments. Working effectively with all members of the Simulation and Clinical skills teams to support the effective running of both areas.

    A typical day will involve you responding to queries, correspondence by email and telephone, organising the administration of both departments courses/events, organising catering and inputting to the various digital systems, for example; medical school databases, course activity databases.

    Job description

    Job responsibilities

    1. Responsible for the organisation and administration of Simulation and Clinical skills courses, teaching sessions and induction programmes. Involvement in planning and development of new courses and recruitment of faculty where appropriate.

    2. Once organised the post holder will be responsible for booking candidates, room bookings, booking catering, ensuring equipment and facilities are set up as required and ready for the course.

    3. The post holder will oversee the smooth running of courses and will close down all the post course documentation including reconciling the finances, sending out certificates and other post course correspondence.

    4. The post holder will need to act as a senior point of contact for all relevant activities to ensure all enquiries are effectively managed and successfully resolved with a prompt time scale, ensuring all personnel are informed as necessary and an appropriate record is maintained.

    5. When events require it, eg; early morning registration and post course clear down the post holder will need to work outside of normal working hours as required. Time in lieu is awarded.
