    Description

    Job purpose:

    The role holder will assist the Senior Administration Manager to manage the administration function of the research and development technology division, Bristol Research and Innovation Laboratory (BRIL). BRIL is a division of Toshiba Europe Limited (TEUR) which is the umbrella legal entity in the UK and the administration function of BRIL is aligned to the corporate function of TEUR.

    The scope of this role includes;

    Day to day accounting and finance through to preparing monthly management accounts and statutory account reporting. Dealing with auditors, tax consultants and solicitors as required. Aspects of HR including payroll management, contracts of employment, benefits, pensions and immigration compliance. Responsibilities include supporting Senior Administration Manager to ensure all administration activities are carried out efficiently, effectively, and accurately to tight deadlines in order to allow the R&D activities to function efficiently and for all compliance reporting to be submitted in a timely manner.

    Accounts/finance related jobs includes

    Budget management and preparation

    Overseeing day-to-day accounting including month-end accounting to strict deadlines

    Audit liaison and data preparation

    Corporation Tax liaison and data preparation

    Payroll analyses and reports

    Payment of employee expenses

    Employee P11D preparation and review

    Payroll accounting for external research projects

    HR related jobs includes

    New employee contracts and induction

    Immigration visa applications and maintenance

    Reviewing and updating Employee Handbook

    Payroll management

    Pension Scheme Memberships

    Pension governance reporting

    Benefit in kind plan management

    HMRC queries & disputes, HMRC annual returns, returns for STBV

    Maintaining records for ExPat reporting and tax team liaison

    Government Statistic request completions

    Salary Sacrifice scheme management

    Facilitate employment training

    Coordinate employee appraisal process

    Facilities administration related jobs includes

    Reporting to Directors and attending Director meetings

    Contract management

    Solicitors - liaison on employee legal issues

    Landlords - liaison on all property matters

    Overseeing management of research output including intellectual property

    Overseeing management of Export Control records and reporting

    Overseeing and co-ordinating with contractors for IT network for division

    Liaising with Patent Solicitors

    Liaising with Company Corporate financial, Legal, HR and Marketing departments

    Regular auditing of internal systems and procedures (e.g. IT security, GDPR, Export Control, - - - Information Security etc) to comply with relevant policies and regulation

    Skills/Qualifications:

    Proven experience as an administration manager (ideally in a technology/research organisation)

    Bachelors degree and/or Level 3 AAT or equivalent

    Knowledge and experience of finance/accounting

    Ability to plan for and accomplish multiple tasks

    Proficiency with IT software, especially MS365, SAGE and Oracle

    Strong verbal and written communication skills

    Experience on team management as a team player with leadership skills

    This is a permanent appointment and the role holder will be office based at 32 Queen Square Bristol BS1 4ND.
